A Salesforce.com Custom Portal Case Study


The Need for a Customer Portal 

In November 2012 we received a call from Huong Nguyen of Shiloh Event Creations asking if Snapptraffic Consulting could help her configure the standard customer portal that is available through Salesforce.com. Huong has an event planning business and wanted to move the management of her event planning business into Salesforce.com, but she also wanted to distinguish her company from the competition by providing her customers a portal in which they follow along real time with the planning of their event.

Huong had already considered several project management solutions available on the app exchange and was close to buying one of those. Before doing so, however, she wanted to be sure that certain details of a project could be made visible through the Salesforce.com customer portal. She was asking for our help to determine if it was possible to show to her customers some important aspects of the project (from a third-party application), but to keep other items concealed.

Building an Application rather than Buying Off-the-shelf

We discussed these goals with Huong and suggested that instead of buying a project management system, we build inside of Salesforce.com, using the standard tools provided, the various databases that would be necessary to track her event milestones, assignments, the budget, various charges, invoices, and payments. This approach would have the advantage of a system built according to her existing processes - and further, once the development was complete, the system would belong to Shiloh Event Creations and there would be no further subscriptions for a third-party project management application.

Standard vs. Custom Portal

We also discussed options for the portal itself. While the standard portal provided by Salesforce.com is easy to setup and modify, it didn’t provide the look and feel that Huong was hoping for.

After talking through all the options, she decided that a custom portal with a design based on her existing website would be the best approach. A custom portal doesn’t use the portal system provided by Salesforce.com at all, but is built on Salesforce.com Sites and uses the authentication of a customer portal license. This approach would also permit us to take full advantage of the project management system that we would build in lieu of the App Exchange offering.

Looking for Savings - Platform Licenses

Another important decision in our planning process was to build as much of the system using custom objects (databases) rather than standard objects like Opportunities and Products. Using custom objects means that many of the future internal users of her system would be able to login using Platform licenses.  Platform licenses are significantly less expensive than full Salesforce.com Enterprise licenses.

The Business Process Review

With those choices made we kicked off the project by conducting a business process review in which we noted how Shiloh Event Creations currently planned for and executed the events that they were managing. We discussed how work was scheduled, assigned, and completed. We also talked extensively about the financial side of event planning.

After these conversations we had this sketch from which to work to create the data model in Salesforce.com.

We immediately began creating the custom objects (databases) in Salesforce.com, adding the fields, and configuring the page layouts. In just a couple of days, Shiloh Event Creations had a fully functioning Project Management System in Salesforce.com built to their exact work requirements. Even if the portal was never built, this was an impressive advance in the management of Shiloh Event Creations business processes.


The next step was to design the custom portal. For inspiration, we looked at their existing company website, noted the design, the styles, the colors, etc and began sketching a portal with these concepts in mind.

This was the longest part of the project, but during these planning sessions we sketched out all the various pages of the Shiloh Event Creations portal. Once that was complete, the development began. The Snapptraffic Consulting development team went to work analyzing the data model, the application already built in salesforce.com, the sketches, the existing website style, and the project requirements – all in the context of the end goal. After that we started writing code!

Over the next few weeks we would meet with Huong every few days to review our progress, take her inputs for changes, and continue development of the requested pages. Here are some screenshots of the final result:

Custom Portals in Salesforce.com

If you are considering using one of Salesforce.com's portals, either their customer portal or their partner portal - you may want to consider a "custom" portal rather than one of the Salesforce.com Standard portals.

So what's the difference?

Salesforce provides its clients with two portal options: the customer portal and the partner portal.

The Salesforce customer portal is generally geared toward providing you a way to allow your customer's to see information that relates only to their account with you; things like their Account and Contact information, maybe the contracts they have on file with you, their Assets, etc. The primary limitation of a customer portal is that the portal user can only view their own account information. Customer portals cost from about $4-$10 per user/per month, depending on how they are licensed (and that can be confusing!).

The Salesforce partner portal is provided so that you can allow companies that you work with to provide you leads and generally manage the sales process associated with those leads through conversion and the movement of an opportunity through your sales pipeline. Your partners can also manage cases associated with accounts that they're working with. The primary enhancement of the partner portal is that you can view data across many accounts (also leads, opportunities, etc). Partner portal licenses generally run about $35 per user/per month.

Both portal types can view custom objects, regardless of ownership.

The salesforce standard ("standard" meaning it is provided by salesforce) portals are easy to configure and deploy - that is their primary advantage. Their primary disadvantage is that you are somewhat "stuck" with how salesforce delivers the interface. You can modify colors and fonts, links, the objects displayed, and a few other factors, but in general, the portal looks like a salesforce portal.

So what is a Salesforce Custom Portal?

For many of our clients, they need a portal, and are willing to pay for the salesforce licenses to get access to the portal, but they want significantly altered functionality, and "look and feel" than what they get in the standard portals.

Salesforce.com provides us with the ability to completely override their portal experience and replace it with a custom user interface ("Custom" meaning that it is new and built just for you). We can take advantage of the portal licensing, portal security, portal encryption, and build it on top of the salesforce.com database, so that we can provide full access to salesforce.com data in a fully customized user experience.

You'll notice in this screenshot that the login page is unique to the needs of the client, is completely different than the standard salesforce portal login page, has the look and feel of the client's main website, and still provides standard login page functions.


Once logged in, you'll notice that this portal, again retains the look and feel of the client website, yet has exactly the functionality that they wanted to provide their clients. Its data is fed by their salesforce.com database so both internal user and external portal users are working with the same data set.




Hybrid Portals - a mix of Custom and Standard

There are times when the standard portal is okay for your needs in some respects, but not others. In those cases we use the standard portal, but override any of the standard pages and replace them with our own functionality.

In these examples we used Salesforce visualforce functionality to build and display the functions that we needed rather than standard salesforce portal pages.

The Power of Salesforce.com Visualforce and Apex Programming

A beautiful thing about salesforce.com and Visualforce is the fact that we can write code to accomplish whatever is needed. Using Visualforce (and the Apex programming language), we can build pages that do exactly what a client needs. They can interface with the underlying database to retrieve salesforce.com data, operate on it, present, save it, etc - in any way that supports the portal user. I point this out in the context of the portal, but Visualforce can be used inside of a standard salesforce system as well, even when not using the portal.

So in the above example, we used Visualforce to provide a list of orders, pages to overview those orders, and pages to allow for the entry and review of orders - in exactly the way desired by our client that they designed to best meet the needs of their clients.
